Motor Vehicle Reports

One of our client companies recently contacted us regarding Motor Vehicle Reports (MVRs).

This is a company whose business requires that some employees drive company vehicles.  Their new insurer for these vehicles is requiring abstracts of the driving records (MVRs) every six months for each employee who is authorized to drive a company vehicle.  My contact knew that they could ask each individual to go to the DMV in person and request an abstract.  It would be pretty inexpensive, but it might also be unwieldly in terms of timing and organization.  Brian was asking whether this is something we could do on their behalf.  Certainly!

I investigated first whether it could be relatively easy for the company to do this themselves.  I went to the Division of Motor Vehicles website for Illinois.  I learned that the company could mail requests to the Secretary of State.  It would cost $12 per person, but it would likely take about 3 weeks.  That’s because the Secretary of State would need to notify each individual in writing that such a report had been requested.  Not an ideal option because of the timing and tracking aspects for an already-busy office manager.

I was happy to offer this great client an option where we would provide the employee consent forms and request the MVR on the company’s behalf.  It was just a little more expensive than what it would cost them to do this themselves by mail, but it saved them money overall due to the turnaround speed.  Reports for drivers licensed in Illinois were returned within an hour.  Reports for drivers licensed in other states were returned within two business days.  And all reports were generated in electronic files that I was able to easily share with our customer for his records!
